Please read the following information before preparing your presentation.

1. Check the title of your presentation

Ensure that you are clear on the title and content of your presentation. If you have any questions about this, then please contact the ISUOG team at [email protected].

2. Check the duration of your presentation

Your original invitation will confirm the expected length of your presentation, please ensure that the amount of content and number of slides is appropriate for the time allocated. Sessions will be run strictly to time and there will not be the flexibility to extend presentation lengths.

3. Create your presentation

Once you have drafted your content you can start to create your presentation slides. We ask that you create your slides in PowerPoint format using widescreen (16:9) slides. Any video clips must be embedded in your slides. If you are presenting virtually, you will need to submit a pre-recorded presentation.

Whether you are presenting onsite or virtually, please ensure that you have read our presentation guidelines (see below) before you submit any materials.

Presentation Guidelines: ONSITE SPEAKERS

CONTENT

  • Ensure the content is relevant and clear on the topic
  • All content must be presented in English unless instructed otherwise.
  • Do not use too many slides. If your presentation includes lots of slides it can end up being rushed and the audience will not have time to fully digest the content.
  • Ensure that your presentation conforms to CME requirements.
  • Only use standard Windows fonts, ideally Arial.

EMBEDDED MOVIES AND VIDEO FILES

  • Enhance your presentation by including video clips and images
  • Most video file types are accepted as embedded video clips, e.g. MP4, MPEG, WMV, AVI, QUICKTIME.
  • Make sure to check that the videos are playing correctly before submitting your presentation.
  • If the videos include sound, please flag this with the ISUOG team as they will need to check that the audio plays in the venue.
  • DO NOT include background music in your presentation unless absolutely necessary.

LAYOUT

  • Keep slides simple and concise – do not present too much information on any one slide.
  • As far as possible use just one or two colours on a plain coloured background for maximum impact.
  • If using images or graphics ensure that they are as visible and large as possible on the slide, if you can, please add them to a separate slide by themselves.

PATIENT CONFIDENTIALITY

  • Patient confidentiality is important to all of us and all presenters are responsible for respecting this within their presentation.
  • Please remember you must not include patient data in your images or videos.
  • When inserting images into your presentation, in the event that you crop the image, please ensure you delete the cropped area of the image before saving your file.
  • Please note that cropped edges of images and any content contained in these outer areas (you wish to hide from the final presentation) is searchable in Google.

Presentation Guidelines: VIRTUAL SPEAKERS

RECORDING YOUR PRESENTATION

You will be required to record your presentation for the 2022 World Congress in advance. Please prepare your presentation using PowerPoint; we then ask you to pre-record yourself giving your presentation over your PowerPoint slideshow.

  • You will still need to prepare PowerPoint slides and then record yourself presenting these slides. Two suggestions on how to do this are below:
    • Audio recording (narration): Use the ‘Record Slide Show’ option within PowerPoint to record your audio presentation as you go through your slides. You will need to save the final file as mp4. You can find detailed instructions on how to do this here.
    • Video recording: Use Zoom to record yourself on camera giving your presentation with your slides shown in your ‘shared screen’. You can find detailed instructions on how to do this here.

Recommendation: rehearse giving your presentation and time yourself ahead of capturing the final recording. Make sure you only upload the final presentation you are happy to share with our audience.

  • The program must run to time and we ask when preparing your talks and participating in the sessions you remember that delegates are attending from around the world and have planned their day around the program. If your talk is more than 30 seconds over time the system will not allow yoiu to submit your presentation and you will need to re-record your talk.
  • We recommend rehearsing your presentation and timing yourself speaking ahead of capturing the final recording. Make sure you only upload the final presentation you are happy to share with our audience, and that your presentation hasn’t exceeded the time available to you for your talk as per your invitation.
Please be aware that ISUOG will record you on screen and/or your presentation being delivered during the World Congress. All or a portion of your presentation, comments, documents and presentation slides presented will be posted online for Congress delegates and members to view via our virtual Congress platform and on demand website. Recordings will not be downloadable and will run online only. This does not affect your right to present your own material elsewhere. Recordings may also be used for promotional purposes.
