Venue and travel
The Congress will be hosted at the Cancun Center: Blvd. Kukulcan Km. 9, Punta Cancun, Zona Hotelera, 77500 Cancun, Quintana Roo, Mexico.
Invited faculty shuttle: It is a short walk between the InterContinental hotel and Cancun Center. However, a bus will be available for invited faculty only, on a first come, first serve basis, as follows:

Visas and insurance
It is your own responsibility to check and fulfil any visa requirements for entry into Mexico (and for any other countries that you stop at on the way to Mexico), and to arrange any personal travel insurance wanted or needed for entry into Mexico (and for any other countries that you stop at the way to Mexico). When you finalise your Congress registration details (ISUOG emailed you to request you do this via our Cvent registration system), you will receive a confirmation email with a link to download a visa invitation letter, if you need this.
Faculty entitlements and hotel
Please refer to your original personal invitation letter to confirm entitlements offered to you. If that included ISUOG arranging any hotel accommodation for you, it will be at the InterContinental Presidente Hotel, address: Boulevard Kukulcán Km 7.5 Zona Hotelera, Cancún, Q. Roo 77500, México. You will have been sent more personalised information about this since accepting your invitation to be faculty.
Please note, we will send you your booking confirmation and the full final details of your booking shortly (your booking is now non-amendable and non-refundable at this stage). Any outstanding balance you might have as a result of booking additional nights/occupancy, will be settled at check-in (there is now no requirement to pay in advance). VAT exemptions for non-Mexican citizens are valid only for those hotel nights that fall on Congress dates – if your stay extends beyond official Congress dates, these nights will be subject to standard VAT. In order for ISUOG (and you) to reclaim the VAT for eligible nights, please remember to provide your stamped passport or immigration slip form the airport gates, together with a non-mexican credit card at check-in.

Social events
Trustee and ROC dinner (18.30 - 23:30, 13 September, InterContinental Presidente Hotel)
All faculty are invited to attend this dinner, but must confirm whether they will attend via the registration form. Those who have not accepted the invitation will not be granted access. Faculty who are due to arrive in Cancun after 13 September must not accept the invitation on the registration form.

Congress party (19:00 - 00:00, 16 September, Harry’s Restaurant, Km. 14.2, Kukulkan 1, Zona Hotelera, 77500 Cancún)
All faculty are invited to attend this event, but must confirm whether they will attend via the registration form. Those who have not accepted the invitation will not be granted access. Faculty who are due to leave Cancun on 16 September or before must not accept the invitation on the registration form. Faculty who have accepted the invitation will gain entry with their registration badge. Coach transfers will be provided from the Intercontinental to Harry's at 19:00 and return journeys will be at 22:00, 23:00 and 00:00. The venue is a 10 minute drive away from the hotel, so guests who want to make their own way can reach the venue via taxi.
Faculty requirements before the Congress

Confirm your registration details, social event attendance and hotel requirements: ISUOG emailed you in June, to request you do this via the Cvent registration system. The system is now closed for further changes.

Read and accept the ISUOG code of conduct. The ISUOG code of coduct is being updated, ISUOG will email you about this in August.

Confirm the details of the session: Save the date and time of the session in your calendar. Review the session running order and the names of the faculty and presentations. You can find more information about the program here.

Submit your presentation: Please note we are using a new process (different to previous years) and will not be requesting presentations are submitted before the Congress via the Arinex system. Instead, you have 2 options:Pre-event (submissions open until: 27 August):

Send your presentation to [email protected].

If you have more than one presentation, please send each in a separate email.

Each email must contain the title of the presentation in the email subject line.

Each email must contain the title, date and time of the session that the presentation is taking place.

On-site: submit your presentation onsite at the speaker preparation room (Tulum 1-2, at least 3 hours before your session start time).

Connect with faculty: Please feel free to contact us at [email protected] if you would like to be connected with the other faculty in your session.

Complete your declaration form: You must complete the faculty declaration ahead of the Congress. If you have not already done this, then the session hall manager will ask you to complete the form onsite.
Preparing your presentation
CONTENT
-
All content must be presented in English unless instructed otherwise.
-
Do not use too many slides. If your presentation includes lots of slides it can end up being rushed and the audience will not have time to fully digest the content.
-
Only use standard Windows fonts, ideally Arial.
-
Ensure that your presentation conforms to CME requirements.
-
Ensure the content is relevant and clear on the topic.
-
Please keep to the topic.

Please be respectful to all in your presentation and ensure you adhere to the ISUOG code of conduct. The ISUOG code of coduct is being updated, ISUOG will email you about this in August.
EMBEDDED MOVIES AND VIDEO FILES
-
All videos and recordings must be set to play automatically. You won't be able to click to start videos during your presentation.
-
Ideally all videos should be included on a separate slide with no other content.
- Most video file types are accepted as embedded video clips, e.g. MP4, AVI, QUICKTIME.
-
Make sure to check that the videos are playing correctly before submitting your presentation.
-
If the videos include sound, please flag this with the ISUOG team as they will need to check that the audio plays in the venue.
-
DO NOT include background music in your presentation.
LAYOUT
-
Keep slides simple and concise – do not present too much information on any one slide.
-
As far as possible use just one or two colours on a plain coloured background for maximum impact.
-
If using images or graphics ensure that they are as visible and large as possible on the slide, if you can, please add them to a separate slide by themselves.
PATIENT CONFIDENTIALITY
-
Patient confidentiality is important to all of us and all presenters are responsible for respecting this within their presentation.
-
Please remember you must not include patient data in your images or videos.
-
When inserting images into your presentation, in the event that you crop the image, please ensure you delete the cropped area of the image before saving your file.
-
Please note that cropped edges of images and any content contained in these outer areas (you wish to hide from the final presentation) is searchable in Google
Practicalities on the day
-
If you have not submitted your presentation before the Congress, please submit in the speaker preparation room, Tulum 1-2. Faculty must submit their presentations no less than 3 hours before the session start time to allow time for our AV team to prepare it.
-
If you have any questions about the session or your presentation then please visit the speaker preparation room where a member of our team will be able to support you. Please do this as soon as possible when you are onsite and be aware that this room is not suitable for meetings with other faculty.

You must arrive at your session hall at least 30 minutes ahead of the session and check-in with the ISUOG session hall manager in your session hall. It is important that you arrive on time. If you are running late or unable to attend for any reason, please contact our team at [email protected] as soon as possible. ISUOG staff will manage every session hall. When you arrive in the room please make sure to introduce yourself to them. They will be available to answer any questions that you have and will ensure that everything is set up for the session.

Stage set up
-
All faculty (including chairpersons) will be seated on the stage.
-
There will be no lecterns. Instead, all faculty will wear a headset microphone and speakers will have a clicker to move through presentation slides. This means speakers will have the freedom to move around the stage and engage with the audience.
-
Your presentation slides will be loaded in advance and you will be able to move through them using the clicker provided.
-
You will be able to see your slides on the comfort monitor located at the front of the stage.
-
Cozumel A - There will be a mouse on a plinth and monitor in front of you to highlight areas of your presentation.
-
Cozumel B – There will be a mouse on a plinth and monitor in front of you to highlight areas of your presentation.
-
Gran Cancun A – There will be a mouse on a plinth and monitor in front of you to highlight areas of your presentation.
-
Gran Cancun B - You’ll have a laser pointer to highlight areas of your presentation on one of the projection screens in the room.
-

During the introductions, discussion/Q&A and closing summary you can speak directly to the audience with your headset microphone. Please note that this microphone will be switched on throughout the session and will be made live when you are speaking to the audience.
-
Once you have finished your talk you can return to your seat. The session chair will then lead a discussion with questions from the virtual and onsite audience.
-
The use of personal laptops onstage, or bringing of USB sticks to the session hall to upload presentations there/late, will not be permitted.
Ultrasound demonstrations
-
In relevant sessions, live ultrasound demonstrations will be taking place in an adjacent room. If you are involved in a scan demonstration (you will have been informed in your personal invitation letter), you should go to this room 30 minutes before the start of the session to perform a pre-scan.

At the end of the scan, you should return to the main stage for the Q&A.
Throughout the session
-
Please be respectful of other faculty and keep to time. Any talks that overrun will reduce the time for speakers later in the program. If you run over please expect the session chair to interrupt you to ask you to wrap up.

Engage with the audience during your talk.
-
Set a friendly and open tone for the session – we encourage debate but personal, inappropriate or offensive comments are not tolerated. Please remember that all sessions are recorded for the purpose of on-demand viewing.
Technical support
All technical issues will be dealt with by our AV team. ISUOG staff will also be on hand to deal with any issues within the session hall. If you have any concerns during the session please direct these to the session hall managers.
Special guidelines for chairpersons
Your role as chair/co-chair:
-
Meet the session hall manager in your session hall 30 minutes before the session start time, to go through the session running order with the ISUOG session hall manager, before the session starts. Ensure you are clear on the flow of the session, the pronunciation of the names of all the faculty, the Code of Conduct, etc.

Open the session. As a guide you should mention the following:
-
Welcome the audience to the session
-
Request that all phones are set to silent to avoid interrupting the session
-
Ask delegates not to record lectures on their own devices
-
Encourage delegates to submit their questions through the app or by using the microphones
-
Remind the room that ISUOG has a strict Code of Conduct and all faculty and attendees are expected to adhere to this
-
Give a very brief introduction to the session topic and speakers
-
-
Invite the first speaker to present - clearly announce their name as a cue to the technical team to bring the presentation up on screen and to the presenter to stand up, walk to the centre of stage and start (if there is a presentation)
-
Throughout the session:
-
Set a friendly and open tone for the session – encourage discussion and debate but carefully manage any situation that could be perceived as a potential breach of the Code of Conduct - see below for more details

Ensure the sessions run to time and finish on time. This is essential. Remind speakers to be respectful of other faculty and to keep to time. If necessary, you should intervene to remind them of the time and ask them to close their talk and introduce the next speaker

Where relevant* thank sponsors for their support of the scan demonstration
-
Lead the discussion and Q&A segments** - engage the audience and review audience questions and include these in the discussion, group audience questions where appropriate
-
Ensure all faculty contribute to the panel discussion/Q&A

Close by thanking faculty, sponsors (where relevant*) and delegates for their participation

Practicalities on the day:
-
Missing faculty: If any faculty are missing from the session, then the chairs should use the time for extra discussion with the other faculty. The session hall manager will let you know if any faculty are expected to miss the session

Technical issues: All technical issues will be dealt with in the session hall by our AV team. If you have any concerns during the session, please direct these to the session hall manager and they will deal with them/escalate them to the AV team

*Scan demonstrations: Some sessions will include ultrasound demonstrations. If this applies to a session you are chairing, then please read the notes below:

Scan demonstrations will take place in a private area adjacent to the stage. Scanning faculty will begin the session there; you may not have a chance to meet them in advance of the session. When introducing the scan please acknowledge the manufacturer who supported the scan (the session hall manager will remind you who this is). You must also include the following statement in the scan introduction: “ISUOG would like to thank [COMPANY NAME] for their support and for providing the machine used for this scan demonstration. Commercial names of medical devices may appear in this presentation because they are linked to specific medical procedures, which are the focus of this scan. Other products in the market can be used to perform the aforementioned medical procedures and ISUOG does not endorse any particular product”

During the scan a live audio/video feed will be played in the session hall, narrated by the scanner

After the scan the faculty will join you on stage to participate in the rest of the session

**Audience questions: All delegates can submit questions through the Congress app. You’ll be provided with an iPad that lists all the questions received. You can take questions directly from the audience as well. There will be mics in the session hall for this purpose
The Code of Conduct and how to deal with potential breaches
Please read the Code of Conduct in full (this is being updated and all faculty will be notified when it is updated, in August). Everyone should adhere to the Code, but Congress faculty are expected to lead by example. We rely on all chairpersons, speakers and presenters to adhere to the Code, and for chairpersons to support us handle situations where other faculty are not adhering to the Code, during Congress sessions. To help chairpersons in their role, we have listed below some examples of unacceptable conduct during Congress sessions. Please note this list is not exhaustive:

Treating others unfairly, differently or disrespectfully (verbally or non-verbally) due to their age, disability, gender reassignment, marriage or civil partnership status, pregnancy or maternity, race, religion or belief, sex, sexual orientation or any other characteristic
-
Using the stage for political purposes or sharing personal political opinions
-
Failing to follow reasonable instructions and directions (particularly from session chairs, ISUOG staff and suppliers)
-
Disrupting the program/proceedings
-
Threatening or exerting physical force to any person or property
-
Carrying out duties under the influence of alcohol or non-medically prescribed drugs
As chair or co-chair, it is your responsibility to monitor the session. If you believe that any faculty, including your fellow chairperson, has breached, is breaching or is close to breaching the Code^ please (in a calm manner):
-
Politely but firmly interject to ask that person to stop that behaviour/topic of conversation/action
-
Thank them for stopping^^, if appropriate
-
De-escalate the situation, at the same time making sure the audience know that ‘ISUOG does not endorse that [behaviour/opinion/action] and apologise’ if appropriate – a sincere apology if warranted can go a long way to calming the situation
-
Steer the discussion back on track, with your fellow chairperson
-
If for any reason any an escalating situation cannot be diffused, the Chairs should confer quickly to decide if the session should be ended early.
-
Following the session, please report the issue to the session hall manager in the room. It is likely they will have already noted this, but please ensure this, and provide them with any details you see fit. It will then be their responsibility to escalate the issue to the ISUOG Senior Event Manager, and the CEO, if necessary. If the session hall manager is unavailable, please report the issue to another member of ISUOG staff. If for any reason you are unable to report the matter to any staff, please notify ISUOG’s CEO by emailing [email protected] as soon as possible, in the event a formal review is required.
^It is important to note that you might not think something is a breach, but if another member of the faculty seems distressed/uncomfortable due to the actions of another member of faculty, please act.
^^If they do not stop, inform them that they will need to leave the session otherwise. We hope this is a very unlikely scenario. We understand this will be very challenging if it does arise. ISUOG will endeavour to assist to remove the person with involvement from ISUOG, AV crew and venue staff as appropriate. The CEO will be notified and attend if possible.
To note, whilst ISUOG has a formal, long-term review process in place for potential/actual breaches as outlined in the Code, ISUOG reserves the right to take immediate action where necessary, pending further investigation, where this is in the best interests of the organisation and event. Therefore, a faculty member may be asked not to participate in following sessions, for example. This will be decided on a case-by-case basis at the discretion of the CEO and Trustees.
Role of session hall manager: Whether the chairpersons report an issue to you or not, if you witness anything you believe to be a potential breach of the Code, write down all the details pertaining to the issue and escalate the issue immediately to the Senior Event Manager, or if they are not available, the CEO.
Role of Scientific Committee members present: Whether the chairpersons react to anything onstage or not, if you witness anything you believe to be a potential breach of the Code write down all the details pertaining to the issue and escalate the issue immediately to the session hall manager.
