Visas and insurance
It is your own responsibility to check and fulfil any visa requirements for entry into the UK (and for any other countries that you stop at on the way to the UK). ISUOG strongly advises that attendees only register for the World Congress once they are confident that they can legally enter the country or will be able to obtain a visa in time to do so. Refunds will not be provided to those who have not allowed enough time to have their visa approved, or have their visa rejected. The official UK government website contains information on all visa requirements for entry.
All registered in-person delegates can also download an invitation letter from ISUOG to support their visa application, by clicking the link in their registration confirmation email.
Please note that, in order to enter the United Kingdom from outside the UK and Ireland, all travellers must ensure they have the appropriate permission to enter the country. Depending on their nationality and the reason for their visit, this may require either a valid UK visa or an approved UK Electronic Travel Authorisation (ETA).
For those who require a visa to travel to the UK, we encourage applicants to submit their visa applications as soon as they are able. Applications can be submitted up to three months prior to the intended date of travel. Please find below the latest biometric submission dates, along with the current visa fees, optional services, and processing times. Visas now are e-visas, so applicants no longer have to surrender their passports while the application is being processed.

Visa FAQs
How much does it cost to apply for a Standard visa?
The cost for a Standard visa is £127 per person.
When should I apply for my visa and how long will my application take?
The process can take up to 20 working days from submitting biometrics, but we recommend that applications are made as early as possible, from up to 3 months before the congress and allowing at least four weeks. In many locations, for an additional fee, delegates may be able to use our Priority and Super Priority visa service.
I am applying late – what is a Priority and Super Priority Service?
Priority service means that the UK Visa and Immigration office will aim to make a decision on your application in 5 working days, this service is available in over 200 locations. Super Priority service reduces this to the end of the next working day, this service is available in around 20 locations. Both services are charged at an additional fee. Some applications may take longer if they are complex, please check the visa application centres website for any further information.
Fees - Fees for Priority and Super Priority Services apply in addition to the Standard visa fee, as follows: £500 for Priority and £1,000 for Super Priority. Important note: Priority service does not imply or guarantee in any way that a delegate will be successful in their visa application. All visa applicants must meet the requirements of the UK immigration rules.
I travel a lot and cannot be without my passport, are there any services that could help?
The UKVI offer a Keep My Passport service in over 40 locations, this allows the applicant to keep their passport while their application is being considered. If their visa application is successful they will need to provide their passport to the VAC for the vignette to be printed. This service comes at an additional cost and details of which services are available at each VAC are available on the commercial Partner website.
What travel date should be stated on the application form?
On the application you should be specific in stating planned dates of travel to and from the UK. Visitors cannot arrive in the UK earlier than the start date on their visa and the airline may not let you board their flight, or they may be refused entry on arrival in the UK. It is not usually possible to make changes to the validity dates of a visa, after it has been printed. If plans change, you may need to make a new visa application.
What can I do if my visa is refused?
A decision to refuse a visa is made only after careful consideration of all the facts by an Entry Clearance Officer, including the fact that the delegate is to attend or contribute to a specific event. If the application is refused, the refusal notice will provide details about the reasons for refusal. Visitors are free to make a new application, but it is strongly recommended that they read their refusal letter carefully and fully address all the reasons for the initial refusal.
Faculty registration and hotel
Please note, fraudulent companies are targeting Congress delegates and faculty regarding their accommodation booking; please do not respond to any emails unless they are sent by an ISUOG email address, a Cvent/Passkey email address OR by the DoubleTree by Hilton London Excel hotel, and it is clear that your specific existing faculty hotel booking is referenced in the email with concrete details identifying it (some of the details you have already given us such as your check in and out dates etc should be clearly referenced – if the email asks you to provide such already known details again, then it is likely fraudulent).
PLEASE READ THE INFORMATION BELOW REGARDING YOUR FACULTY ACCOMMODATION:
- The faculty hotel is the DoubleTree by Hilton London Excel (ISUOG headquarters hotel).
- Faculty will be invited to book their accommodation online at the same time as registering as faculty, via ISUOG’s online registration (Cvent) and hotel booking systems (Cvent Passkey), supported by Cvent, our registration partner. The hotel booking process is mandatory for all faculty requesting accommodation and needs to be completed by 22 June – no further extensions will be given and any non-booked rooms will be released by the hotel after that date.
- Facutly must select their total length of stay at the headquarters hotel, including any nights paid for by ISUOG as part of their faculty entitlements, as well as any additional nights paid by the faculty members themselves. Faculty should also specify the occupancy of their room. Any additional nights/charges will be charged directly to the faculty, in advance of their arrival, using the card details provided at the booking stage.
- Faculty entitlements (number of nights covered by ISUOG) have been communicated to you via your official inviatation to participate to the Congress as faculty - please reference that email prior to your booking.
- Faculty will need to pay their room balance in full at the point of reserving their accommodation via ISUOG’s/Cvent’s hotel booking software, Passkey (if you have booked over and above your ISUOG entitlement nights), by providing the details of a bankcard/credit card in the name of the main occupant (name on the booking). The hotel will charge the card any amount due in full (over and above your ISUOG entitlement) in the period 22 June-5 August. During that period, past the 22 June deadline, no changes can be made to your booking. After any initial bookings are finalised, you may be able to further increase your nights if there is further availability at the hotel. However, no reduction of nights or cancellations will be accepted after 22 June, for any reason, and no refund will be made for charges already made, based on hotel dates selection submitted through the online booking system.
- Occupancy is based on the number of persons sharing a room and can be single or double. Maximum total occupancy of each room is 2 persons (2 adults or 1 adult + 1 child). Please book your occupancy based on total persons and add a note if you have any children under 12 staying with you in the special request free text box.
- All rooms are the same size; occupancy selection only relates to the number of persons occupying a room and is charged as follows:
- Single occupancy (1 persons, inc breakfast and taxes) – ISUOG will cover single occupancy up to your faculty entitlement; additional nights will cost you GBP £220 per night
- Double occupancy (2 persons, inc breakfast and taxes) – will cost you additional GBP £17 per room per night
- Check in time: 3:00PM / Check out time: 12:00PM
- Cancellation: Rooms are non-cancellable and non-refundable after 22 June
- You will receieve an initial confirmation of the dates you submitted for booking - based on these dates, and your faculty hotel entitlements, the hotel will calculate any balance due to be paid by you,and will charge your card accordingly.
- Please note, we will send you your final official booking confirmation and the full final details of your booking after 20 August (your booking will be non-amendable and non-refundable at this stage).
Social events
Faculty requirements before the Congress

Confirm your registration details, social event attendance and hotel requirements: ISUOG emailed you in June, to request you do this via the Cvent registration system. The system is now closed for further changes.

Read and accept the ISUOG code of conduct. The ISUOG code of coduct is being updated, ISUOG will email you about this in August.

Confirm the details of the session: Save the date and time of the session in your calendar. Review the session running order and the names of the faculty and presentations. You can find more information about the program here.

Connect with faculty: Please feel free to contact us at [email protected] if you would like to be connected with the other faculty in your session.

Complete your declaration form: You must complete the faculty declaration ahead of the Congress. If you have not already done this, then the session hall manager will ask you to complete the form onsite.
Preparing your presentation

All content must be presented in English unless instructed otherwise.
-
Do not use too many slides. If your presentation includes lots of slides it can end up being rushed and the audience will not have time to fully digest the content.

Only use standard Windows fonts, ideally Arial.
-
Ensure that your presentation conforms to CME requirements.

Ensure the content is relevant and clear on the topic.

Please keep to the topic.

Please be respectful to all in your presentation and ensure you adhere to the ISUOG code of conduct. The ISUOG code of coduct is being updated, ISUOG will email you about this in August.

All videos and recordings must be set to play automatically. You won't be able to click to start videos during your presentation.
-
Ideally all videos should be included on a separate slide with no other content.
- Most video file types are accepted as embedded video clips, e.g. MP4, AVI, QUICKTIME.
-
Make sure to check that the videos are playing correctly before submitting your presentation.
-
If the videos include sound, please flag this with the ISUOG team as they will need to check that the audio plays in the venue.

DO NOT include background music in your presentation.
-
Keep slides simple and concise – do not present too much information on any one slide.
-
As far as possible use just one or two colours on a plain coloured background for maximum impact.
-
If using images or graphics ensure that they are as visible and large as possible on the slide, if you can, please add them to a separate slide by themselves.
-
Patient confidentiality is important to all of us and all presenters are responsible for respecting this within their presentation.

Please remember you must not include patient data in your images or videos.

When inserting images into your presentation, in the event that you crop the image, please ensure you delete the cropped area of the image before saving your file.

Please note that cropped edges of images and any content contained in these outer areas (you wish to hide from the final presentation) is searchable in Google
Practicalities on the day

If you have not submitted your presentation before the Congress, please submit in the speaker preparation room, Albert 3. Faculty must submit their presentations no less than 3 hours before the session start time to allow time for our AV team to prepare it.

If you have any questions about the session or your presentation then please visit the speaker preparation room where a member of our team will be able to support you. Please do this as soon as possible when you are onsite and be aware that this room is not suitable for meetings with other faculty.

You must arrive at your session hall at least 30 minutes ahead of the session and check-in with the ISUOG session hall manager in your session hall. It is important that you arrive on time. If you are running late or unable to attend for any reason, please contact our team at [email protected] as soon as possible. ISUOG staff will manage every session hall. When you arrive in the room please make sure to introduce yourself to them. They will be available to answer any questions that you have and will ensure that everything is set up for the session.

In relevant sessions, live ultrasound demonstrations will be taking place in an adjacent room. If you are involved in a scan demonstration (you will have been informed in your personal invitation letter), you should go to this room 30 minutes before the start of the session to perform a pre-scan.

At the end of the scan, you should return to the main stage for the Q&A.

Please be respectful of other faculty and keep to time. Any talks that overrun will reduce the time for speakers later in the program. If you run over please expect the session chair to interrupt you to ask you to wrap up.

Engage with the audience during your talk.
-
Set a friendly and open tone for the session – we encourage debate but personal, inappropriate or offensive comments are not tolerated. Please remember that all sessions are recorded for the purpose of on-demand viewing.
Special guidelines for chairpersons

Meet the session hall manager in your session hall 30 minutes before the session start time, to go through the session running order with the ISUOG session hall manager, before the session starts. Ensure you are clear on the flow of the session, the pronunciation of the names of all the faculty, the Code of Conduct, etc.

Open the session. As a guide you should mention the following:

Welcome the audience to the session
-
Request that all phones are set to silent to avoid interrupting the session
-
Ask delegates not to record lectures on their own devices
-
Encourage delegates to submit their questions through the app or by using the microphones
-
Remind the room that ISUOG has a strict Code of Conduct and all faculty and attendees are expected to adhere to this
-
Give a very brief introduction to the session topic and speakers
-
-
Invite the first speaker to present - clearly announce their name as a cue to the technical team to bring the presentation up on screen and to the presenter to stand up, walk to the centre of stage and start (if there is a presentation)
-
Throughout the session:
-
Set a friendly and open tone for the session – encourage discussion and debate but carefully manage any situation that could be perceived as a potential breach of the Code of Conduct - see below for more details

Ensure the sessions run to time and finish on time. This is essential. Remind speakers to be respectful of other faculty and to keep to time. If necessary, you should intervene to remind them of the time and ask them to close their talk and introduce the next speaker

Where relevant* thank sponsors for their support of the scan demonstration
-
Lead the discussion and Q&A segments** - engage the audience and review audience questions and include these in the discussion, group audience questions where appropriate
-
Ensure all faculty contribute to the panel discussion/Q&A
-
Close by thanking faculty, sponsors (where relevant*) and delegates for their participation
-

Missing faculty: If any faculty are missing from the session, then the chairs should use the time for extra discussion with the other faculty. The session hall manager will let you know if any faculty are expected to miss the session

Technical issues: All technical issues will be dealt with in the session hall by our AV team. If you have any concerns during the session, please direct these to the session hall manager and they will deal with them/escalate them to the AV team

*Scan demonstrations: Some sessions will include ultrasound demonstrations. If this applies to a session you are chairing, then please read the notes below:
-
Scan demonstrations will take place in a private area adjacent to the stage. Scanning faculty will begin the session there; you may not have a chance to meet them in advance of the session. When introducing the scan please acknowledge the manufacturer who supported the scan (the session hall manager will remind you who this is). You must also include the following statement in the scan introduction: “ISUOG would like to thank [COMPANY NAME] for their support and for providing the machine used for this scan demonstration. Commercial names of medical devices may appear in this presentation because they are linked to specific medical procedures, which are the focus of this scan. Other products in the market can be used to perform the aforementioned medical procedures and ISUOG does not endorse any particular product”

During the scan a live audio/video feed will be played in the session hall, narrated by the scanner

After the scan the faculty will join you on stage to participate in the rest of the session
-

**Audience questions: All delegates can submit questions through the Congress app. You’ll be provided with an iPad that lists all the questions received. You can take questions directly from the audience as well. There will be mics in the session hall for this purpose

Treating others unfairly, differently or disrespectfully (verbally or non-verbally) due to their age, disability, gender reassignment, marriage or civil partnership status, pregnancy or maternity, race, religion or belief, sex, sexual orientation or any other characteristic
-
Using the stage for political purposes or sharing personal political opinions
-
Failing to follow reasonable instructions and directions (particularly from session chairs, ISUOG staff and suppliers)
-
Disrupting the program/proceedings
-
Threatening or exerting physical force to any person or property
-
Carrying out duties under the influence of alcohol or non-medically prescribed drugs
-
Politely but firmly interject to ask that person to stop that behaviour/topic of conversation/action
-
Thank them for stopping^^, if appropriate
-
De-escalate the situation, at the same time making sure the audience know that ‘ISUOG does not endorse that [behaviour/opinion/action] and apologise’ if appropriate – a sincere apology if warranted can go a long way to calming the situation

Steer the discussion back on track, with your fellow chairperson
-
If for any reason any an escalating situation cannot be diffused, the Chairs should confer quickly to decide if the session should be ended early.

Following the session, please report the issue to the session hall manager in the room. It is likely they will have already noted this, but please ensure this, and provide them with any details you see fit. It will then be their responsibility to escalate the issue to the ISUOG Senior Event Manager, and the CEO, if necessary. If the session hall manager is unavailable, please report the issue to another member of ISUOG staff. If for any reason you are unable to report the matter to any staff, please notify ISUOG’s CEO by emailing [email protected] as soon as possible, in the event a formal review is required.
