ISUOG 2020 Virtual World Congress Terms and Conditions
By submitting your Congress registration, you agree to the following Terms and Conditions:
Cancellation
Cancellation of a registration must be communicated via email to [email protected] on or before 17 September 2020. Verbal changes or cancellation are not accepted. There will be a £60 administration charge applied to the registration fee which will be deducted at the time of refund. Membership fees are non-refundable. Please note that the refund will be returned via the same payment method as the original receipt of funds. Substitutions of attendees can be made at any time and requested in writing. Refunds will not be given for virtual no-shows.
Any refunds outside our normal terms will only be reviewed and processed after the Congress.
Charging
By submitting your credit card, you are authorising ISUOG CCL to charge your credit card the total amount due. In the event that the delegate has selected the incorrect registration fee, ISUOG CCL reserves the right to change this after submission. Any outstanding balance will be notified to the delegate by email with a link to resubmit payment to settle any outstanding balance. ISUOG CCL reserves the right to refuse access for incorrect payment of registration fees.
Changes to program
All best endeavours will be made to present the programme as publicised. However, ISUOG CCL and its agents reserve the right to alter or cancel, without prior notice, any arrangements, timetables, plans or other items relating directly or indirectly to the ISUOG 2020 Congress, for any cause beyond its reasonable control. ISUOG CCL and its agents are not liable for any loss or inconvenience caused as a result of alterations or cancellations. In the event of cancellation of the 2020 Congress, all pre-paid fees will be refunded in full. Delegates registered for the 2020 Congress in Glasgow will be transferred to ISUOG’s 2020 Virtual Congress and the difference to their fees refunded. The new fees for the Virtual Congress ensure that already registered delegates will benefit from this registration transfer in all cases. Delegates who already registered for the 2020 Congress in Glasgow but cannot attend ISUOG’s 2020 Virtual Congress, should email [email protected] before 30 June 2020 to be refunded in full. For cancellations received after that, the standard Congress cancellation policy will apply.
Access to the online event
In the event of internet or other telecommunications disruptions affecting the live transmission of the Virtual Congress, delegates will have the opportunity to watch the recorded sessions on-demand, by accessing the Congress online event platform until 17 November (23:59 GMT). No refunds will be given in such cases. ISUOG is not liable or responsible for any delay, disruption or disturbance in the operation of the internet or problems caused by your internet service provider or for any telecommunications failures which are beyond our control. Access to the online content may be temporarily unavailable during the Virtual Congress for updates and critical maintenance of the virtual platform and systems to ensure optimal user experience. These times will be kept to a minimum.
Data protection
Personal data collected by ISUOG CCL during the registration process is used to fulfil delegate attendance at the World Congress and for delegates who qualify for ISUOG membership to fulfil their membership. ISUOG CCL will use the contact information collected leading up to the Congress to notify delegates of congress-related activities.
Data is not provided to third parties without delegate approval or legitimate interest. Delegates must opt in to related questions on the registration form to take advantage of additional benefits. ISUOG CCL takes no responsibility for delegates who do not read the data protection questions on the form in full and who do not actively opt in who wish to receive these additional benefits provided by third party societies.
Delegates have the right to withdraw consent given at any time by emailing [email protected].
When you visit our industry partners virtually, e.g. sponsors or exhibitors, you will be asked if you are happy to share your personal contact data with them. If you accept you will be providing these partners with the following personal contact data: name, job title, institution, country and email address. This information will be taken from the data you submitted during registration or updated in your user profile. You thereby consent to this personal data being transferred and accept that this exhibitor or sponsor may contact you about their products or services in the future. You consent to this partner or sponsor transferring your data outside of the European Economic Area for these purposes.
Photographs and videos
ISUOG CCL will take virtual screenshots and videos during all virtual activities and sessions during the Congress. By participating in the 2020 World Congress and/or other activities, you grant ISUOG CCL the right to use your name and photograph for such purposes including, but not limited to, posting or publishing on news or promotional material, whether in print, electronic or other media, including World Congress' websites. All pictures become the property of World Congress. Pictures may be displayed, distributed and used by World Congress for any purpose.
Liability
Participant agrees to indemnify, defend and hold harmless ISUOG CCL, its officers, directors, employees and agents from any and all claims, actions, fees, charges, liabilities of any nature, which ISUOG CCL, its officers, directors, employees and agents may incur that arise out of the negligence, gross negligence or wilful misconduct of the participant.
British law
Participant and ISUOG CCL agree that these terms and conditions shall be governed by and construed in accordance with the laws of the United Kingdom. Participant and ISUOG CCL further agree that all disputes arising out of or in connection with this agreement shall be finally settled under British law.
Confirmation email and invoice
All delegates registering for the World Congress will receive a confirmation email once the registration team has checked their registration is correct. This email contains:
• pdf attached with a summary of their booking
• A link to download the invoice which reflects the activities and financial implications
The text of the email can be edited at any point in time so that promotion of relevant information can be included at any point during the process.
