Exhibitor Registration Portal
Confirmed exhibitors must log in to the Exhibitor Registration Portal to assign any complimentary badges and lead capture licenses (if applicable) to their staff, purchase any additional badges required, and complete their profile for the Congress app. The portal link will be available in due course.
It is mandatory for any person entering the exhibition hall or Hospitality Suite rooms on the event build days, which are 2-3 Sept, to wear a high visibility vest and closed-toe shoes. These must be worn at all times. Even if you are not physically working on a stand/suite (e.g. you are just a company representative that would like to enter the space to check on the build progress), you must still wear this protective clothing.
Trucks, lorries and any other vehicles that require access to the loading bay(s) must be pre-registered on the Voyage Control portal (see ‘Important Documents and Links’ section above).

Lead capture
Lead capture* licenses/devices are now available to purchase. Lead capture is available either by purchasing a license only, for use on a personal device, or by purchasing a license with a device. If purchasing license only, sponsors/exhibitors must purchase as many licenses as the number of individual users. Licenses cannot be activated and used across multiple devices, they are one license per user/device.

Important information:
- There will be no access to the Congress without a badge.
- Each badge must be allocated to an individual person via the exhibitor portal prior to the Congress.
- Badges will be available for onsite collection from the registration area. In order to collect a badge, the name of the badge holder must be given.
- Should you choose to collect the badges as a group, you will need to provide the names of all badge holders and make arrangements to distribute the badges before they enter the event.
- Please note that any additional hostesses/staff working on your symposium, within your Hospitality Suite or on your stand must have a valid temporary staff pass, which must be purchased/allocated in advance.
- From 4 September onwards, the onsite fees (see above) will apply for all badge purchases with strictly no exceptions.
Sustainability
What are we (ISUOG) doing this year to make the World Congress more sustainable?
ISUOG is working hard to try to reduce the negative impact of the Congress on the environment. Every year, we are doing more to reduce our impact and build a more sustainable event. So far, some of the things we have been doing include: greatly reducing our printed materials, avoiding single-use materials where possible, and encouraging our delegates to bring a reusable water bottle to the venue. Please see the sustainability section of our FAQs for more information on this.
We are very conscious that there is a lot more to be done on this sustainability journey, and that ISUOG must lead by example to encourage our sponsors and exhibitors to do the same. Thus, we will be making the following efforts at the London congress, as well as continuing the actions we already take:
- The ISUOG stand will be built with more sustainable/re-usable materials and will have no carpet or linoleum flooring.
- Carpet/flooring is not included in shell scheme packages, and carpet is highly discouraged on space only stands and other areas where other options are possible. We encourage using reusable/recyclable materials, e.g. wood. We hope that eventually our Congress will become completely carpet-less.
- Food waste: Excel London is home to one of the UK’s largest commercial wormeries, with over 300,000 worms processing food waste from production kitchens. All remaining food waste is sent to anaerobic digestion. At the buffet stations, signs will be placed to show the carbon footprint of each dish.
- As per the venue’s regulations, no artificial plants and flowers may be used for dressing stands. Only real and silk-type flowers and leaves can be used, and the silk-type must be clearly marked as conforming to BS 54387.
We implore our sponsors and exhibitors to reduce their carbon footprint where possible, through methods such as:
- Reducing/avoiding printed materials: please use digital where possible and where print is essential, please print locally and consider recycled/recyclable materials.
- Reducing/avoiding unwanted giveaways: please think carefully about items you are bringing to the Congress and only bring items that will be really valued by delegates, preferably sourced locally in recycled/recyclable materials.
- Using more sustainable and/or re-usable materials to build stands
- Using public transport (bus/metro) onsite, rather than private travel (taxis)
- Offsetting team members’ flights to the Congress destination, if possible, via a carbon offsetting scheme
We hope that our sponsors and exhibitors will make more sustainable choices not only at the ISUOG World Congress, but at all events they attend going forward.
Exhibition (stand building, regulations and services)
IMPORTANT: Health and safety information
You are required to comply with all statutory, local authority and standard institution regulations, standards, provisions, requirements, codes of practice, recommendations and laws for the time being in force that are applicable to your use of the Venue premises and facilities for the duration of the Congress. It is your responsibility and not the Organiser’s or Venue’s to ensure that you and any third parties are aware and adhere to all of the above matters. All exhibitors are responsible for the health and safety of their staff on their stand and within the Venue.
Venue-specific safety information
- On discovering a fire, break the glass on the nearest manual call point (coloured red), which are located adjacent to all exits, or contact the Security Suite by dialling 4444 on an internal telephone immediately.
- Do not touch or move any suspicious or unattended item but report it to the Security Suite, by dialling 4444 on an internal telephone.
- If your stand is by, or on the route to an emergency exit, the aisle must be clear. Anything left there will be removed by the cleaning team. Please ensure that your team are briefed accordingly.
General safety checklist
- Appoint a competent person to handle health and safety measures for your participation
- Review the accident statistics of your participation at previous events in which you have been involved
- Read the exhibitor technical manual and heed all stipulated and stated regulations and safety requirements
- Undertake a risk assessment for the event & ask any of your contractors for a risk assessment for the event
- Notify all parties of any undue hazard resulting from the risk assessment
Build and break down
- Wear a high visibility vest and closed toe shoes (compulsory for all personnel at Excel London)
- Follow all displayed warning signs and posters
- Take heed of all smoking regulations
- Wear appropriate hearing, eye, head protection where necessary
- When dealing with electricity always use a certified electrician
- Be careful when walking in the aisles during set-up and avoid walking in front of forklifts and between crates
- Keep all aisles and work areas clean and free of hazards. Discard all rubbish and waste in the proper containers
- When lifting, keep your back straight. Use your legs to lift the object, not your back
- Use a step stool or step ladder, not a table or chair & have a well-stocked first aid kit with you
- When dismounting from equipment or fixed objects always dismount facing the machine or object. Never jump down
- No children are permitted in the exhibition area
IMPORTANT: Insurance and liability

Fire insurance: All exhibitors must be insured against fire.
-
Public liability insurance:
ISUOG holds a World Congress around the world every year, and this includes an exhibition. ISUOG arranges its own insurance specifically for the World Congress each year, and this includes cancellation, postponement and public liability. ISUOG’s public liability insurance covers its staff/representatives. A condition of the insurance is that all onsite sponsors/exhibitors and their onsite suppliers have third party public liability insurance of their own. This is standard practice for ISUOG and other international events/exhibitions. It is noted in ISUOG’s standard exhibition terms and conditions and technical manual, and exhibitors must comply. Of course, ISUOG also carries out risk assessments for the Congress, and adheres to all Congress venue health and safety requirements. It also expects all exhibitors and their suppliers to carry out their own risk assessments and adhere to health and safety best practice. Each party having public liability insurance is therefore for the ‘worst case scenario’ but is nevertheless necessary.
Requirement:
Exhibitors agree to be responsible for any damage to property and for any loss or injury caused by them or their agents or employees and will indemnify the Organisers against all claims and expenses arising there from. Exhibitors are also responsible for the security and insurance of their activity, materials and content at all times. Exhibitors agree to consult their insurance company or insurance brokers to cover themselves fully against any risks associated with their activity. Exhibitors MUST confirm proof of third party public liability insurance for no less than the equivalent of £2,000,000 (we recommend £10m) to [email protected] by 14 June 2026.
Exhibitors may already have public liability at events included (by way of no exclusion) in their company's general public / civil liability insurances. All exhibitors must check internally whether they are covered by their general policy. If they are not, additional cover for this event must be arranged.
You are responsible for insuring against any legal liability incurred in respect of injury or damage to property belonging to third parties. In addition to this you should protect against abandonment and cancellation or curtailment of the event due to reasons beyond the Organisers’ control. In participating in this Congress, companies agree to be responsible for all damage to property and for any loss or injury caused by them or their agents or employees and will indemnify the Organisers against all claims and expenses arising there from. The exhibitor is responsible for the security and insurance of their activity, materials and content at all times. Exhibitors agree to consult their insurance company or insurance brokers to cover themselves fully against any risks associated with their activity. If relevant, liability to the public should also be covered by appropriate insurance, by the exhibitor. In the event of it being necessary for any reason whatsoever for the exhibition to be abandoned, postponed or altered in any way in whole or part, or if the Organisers find it necessary to change the dates of the exhibition, the Organisers shall not be liable for any expenditure, damage or loss incurred in connection with the exhibition. The Organisers shall further not be liable for any loss, which the exhibition or exhibition contractors may incur owing to the intervention of any authority, which prevent or restricts the use of the premises or any part thereof in any matter whatsoever. While the Organisers take every precaution to protect the exhibitors’ property during the exhibition, they are not responsible for any loss or damage.
General regulations
- Height limit: The maximum stand height in the exhibition hall is 4m.
- Weight limits: The maximum floor loading capacity is 5.0 kN/m2.
- All stands need open tops – Stands can only be built in a way which allows smoke to pass through the structure in order to ensure the operation of the hall’s smoke alarms.
- All exhibits are to be displayed to avoid blocking aisles, obstructing adjoining booths, or damaging the premises.
- Exhibition material that is placed outside the booth will be removed at the exhibitor’s expense.
- Space-only booths should be partly accessible on all sides. Exhibitors are only allowed to build walls that cover up to a third of each side. We try to keep the exhibition as open and inviting as possible. Entire sideway walls will not be approved.
- Construction finish must be perfect in all the stand’s visible areas, including rear sides and stand ceiling.
- No plans will be approved / construction will not be allowed if it will overshadow a neighbouring stand.
- No rigging is allowed in the exhibition hall.
- No double-storey stands are permitted in the exhibition hall.
- It is compulsory for all personnel to wear high visibility vests and closed-toe shoes while working in the exhibition hall.
- Occupation of stand space: Unless otherwise agreed in writing by ISUOG, exhibitors are not authorised to sublet, share or transfer their stand space. In the event of an exhibitor failing to take possession of their stand ISUOG has the right to re-allocate the stand and all monies paid shall be forfeited.
- Noise levels: No microphones or PA systems are allowed in the exhibition.
- Drones: The use of drones during the ISUOG World Congress is STRICTLY prohibited.

Ramps: If constraints necessitate an approach of 1:20 or steeper, an approach incorporating a ramp should be provided. A ramp must be either readily apparent or the approach to it clearly sign-posted. Ramps must not be greater than 10m, or have a rise of more than 500mm. Ramps shall have a minimum, unobstructed width of 1.5m. The gradient of a ramp flight and its going between landings should be in accordance with the following table:

It is unlikely that any stands in the ISUOG exhibition hall will be deemed ‘complex’, but any sponsors who plan to build structures in their Hospitality Suite must take note of the above as it is more likely to occur in these rooms.
The venue reserves the right to deem a structure 'complex' where this has not correctly been determined by the designer. Sponsors are responsible for submitting full details of all complex structures no later than days prior to tenancy. Permission to build any complex structure will not be given until the venue has received 2 copies of the following (in English):
Detailed, scaled structural drawings showing:
- Plan views of the stand/structure
- Sections through each storey of the stand/structure
- Elevations including full steelwork and staircase details
- Width and position of gangways within the stand
- Floor and/or roof loading
- Specifications of materials used
- Structural calculations
- Risk assessment (to include fire hazards) and method statement
- Written confirmation from an independent structural engineer, with adequate professional indemnity cover, that the design is safe for its purpose
Each item of information should state the event name and stand number. Complete sets of information only should be submitted, together with a plan showing the location of the stand within the event. If any complex structure is modified after the submission of the above information, plans must be re-submitted with details of all modifications and a structural engineer’s confirmation that the final overall design is safe for its purpose.
Freight forwarding and logistics
ISUOG’s recommended freight forwarding and logistics supplier is DSV.
- Sponsors can choose to have their shipments sent from a DSV warehouse in their country, or have their shipments collected from a specified address.
- DSV can accommodate freight forwarding via road, air or sea. Please note that due to the current situation in the Middle-East, shipments may take longer via air and sea if they are due to pass through this region on the delivery route to the UK. Exhibitors must take this into account when booking shipments and ensure they make arrangements as early as possible.
- Delivery storage: DSV are based onsite at Excel London and can offer storage before, during and after the event.

ISUOG’s appointed exhibition services company, GES, will arrange all shell scheme packages and can also offer stand construction and other services, as outlined in this technical manual. Companies with space-only stands may use external contractors if desired, but all shell scheme stands will be built and arranged by GES. Any additional services not specified below must be ordered via the Event Webshop (see 'important documents & links' above).

Stand plans must be approved by the Excel London and ISUOG. Exhibitors are required to submit their proposed stand plans to ISUOG by email, then ISUOG will submit them to the venue for official review and approval. Please note the maximum stand height in the exhibition hall is 4 metres. Both ISUOG and the venue reserve the right to deny the stand plan, if the plan is not appropriate. ISUOG reserves the right to access the stand at any moment in order to check its compliance with regulations.

Access for build and breakdown

All sponsors/exhibitors will be informed of their access time slot for build and breakdown says by ISUOG and must adhere to these times and regulations.

All exhibitor/contractor vehicles must pre-register their vehicle for build and breakdown day access on the Excel Voyage Control portal (see Important Documents and Links section above).

The loading bays are accessed only via Royal Albert Way. Any vehicles approaching the site from the A13/A406 Beckton roundabout should exit onto the A1020 Royal Docks Road until Gallions roundabout. Take the fourth exit onto Royal Albert Way and continue westbound along Royal Albert Way until the Excel London roundabout. Vehicles should then go down Sandstone Lane and into the traffic marshalling area to await further instructions from the Excel Traffic team.

Diamond sponsors will have priority access for build and breakdown.

The use of loading and unloading areas is exclusively for this purpose. It is forbidden to remain parked in these spaces. All vehicles must remain with their engine off while loading/unloading.

Parking: Pre-booking is the only way to guarantee a space in the car park at Excel London. The car park is designed for vehicles up to a maximum of 2m height, although there are a limited number of spaces for vehicles up to 2.8m. To pre-book a space, go to the online booking platform here. It may be possible to park on the day without having pre-booked, depending on the number of spaces that have been pre-booked. Parking costs £27.50 per day (00:00 – 23:59) when pre-booked and £30 per day on-site on-day (only available when we are not operating a prebook only car park). Payment can be made on site at the payment machines in the car park lobbies.

The maximum speed limit in the loading bay and lorry ways is 5mph. Sandstone Lane and other areas on the estate are 20mph.

Breakdown:

No waste should be left in the exhibition aisles at any time.

Any space used by a sponsor/exhibitor must be returned to the venue completely clear of all sponsor/exhibitor items and returned to its original state by the sponsor/exhibitor or their contractor

Any damage detected in space used by a sponsor/exhibitor will be made known to the sponsor/exhibitor and the appropriate measures will be taken by ISUOG or the venue to charge costs to the sponsor/exhibitor

Once the breakdown is over, ISUOG nor venue will be held responsible for the safekeeping or storage of any items left in the venue. If the venue has to arrange the removal of any items, the venue reserves the right to destroy or remove items and to charge this to the sponsor/exhibitor

It is the exhibitor’s responsibility to dispose of all materials after dismantling. Any equipment, display aid or other material left behind after 7 September will be considered discarded and abandoned

Electricity:
Shell scheme stands (2X3m and 3X3m) include one basic double contact point as standard in the package.
Space-only stands do not include power connection, so this and all other auxiliary services must be purchased by the exhibitor. Connections and extra equipment/voltage can be ordered via the Event Webshop in the ‘Important Documents and Links’ section at the top of this page.

Waste removal & cleaning:
All exhibitors and contractors must pre-book waste management services prior to the event via the Event Webshop. This allows the venue to coordinate resources and ensure sufficient capacity for waste collection and disposal. Excel offers waste collection, material recycling, and disposal options tailored to your needs. Please see the available waste services for your event on the Event Webshop and confirm your requirements by ordering by the indicated deadline.
If exhibitors leave stand materials behind or do not make an effort to remove everything from the Exhibition hall, they will be charged by the venue.
Daily cleaning of the aisles and common areas will be carried out in the exhibition area. If sponsors would like their stand to be specifically cleaned at any point during the event, they must order them in advance via the Event Webshop.

Flooring:
The exhibition hall is carpeted throughout. In an effort to be more sustainable going forward, flooring is not included in shell scheme packages. We would like to encourage all our sponsors and exhibitors to avoid using environmentally unfriendly and/or single-use flooring materials (carpet, linoleum, etc.) on their stands.
Signage:
It is possible to book additional signage at the venue during the Congress, but this must be done by contacting ISUOG first for approval, and cannot be booked directly with the venue. If you are interested in this, please email [email protected] for further details.

Hospitality Suites, industry symposia and scan demonstrations
Scan demonstrations and the use of ultrasound machines
IMPORTANT – PLEASE READ CAREFULLY:
Under no circumstances may live obstetric or gynecological scans take place on exhibition stands or within the exhibition hall. All live scanning must be restricted to: a) the demonstration area within the scientific sessions or, b) where pre-booked, meeting rooms or Hospitality Suites. Those involved in live scan activities must comply with the scan demonstration guidelines. Sponsors who plan to host scan demonstrations within their Hospitality Suites or lunch time symposia are responsible for acquiring their own patient models for these sessions. ISUOG will acquire patient models for demonstrations within the scientific program only.
Scan demonstrations within the ISUOG Scientific Program:
Eligibility: X 2 included for Diamond sponsors. X 1 included for Platinum sponsors. Option to purchase x 1 for Gold sponsors (and for Diamond/Platinum to purchase additional ones).
The allocation of scan demonstrations will take place in spring 2026. Companies will be contacted individually to confirm topic and speaker details.
Logistics: we will kindly request that each company provide some of the basic equipment required for the scan demonstrations in the scientific program, and we ask you to please leave it in the scan demonstration area for the entirety of the Congress. Please advise the Organiser via the machine specifications & equipment provision form (sent directly to each eligible company) which equipment you are able to provide.

Allocation: Priority allocation of symposia will be given based on the level of sponsorship and first-paid, first served basis. Symposia are organised during lunch breaks or before/after the scientific program, at times which do not conflict with ISUOG’s main scientific program, however we cannot guarantee that other activities will not be running concurrently. Access to the symposium hall will not be possible until the previous session ends, and the symposium must end 15 minutes before the next session starts. It is essential that the symposium starts and ends at its scheduled time and that all speakers adhere strictly to the program timings. The chairperson of the symposium and/or onsite company coordinator has a responsibility to oversee that the information presented during the symposium is based on proven data and for adhering to the assigned time slot. We cannot completely guarantee that the sessions will be unchallenged by other activities as sponsors are permitted to run hospitality sessions at these times.
Set-up:
The stage set-up includes a screen and seating for up to 7 persons. A lectern is not included in the stage set as. Therefore, symposium speakers presenting live must arrive 15 minutes prior to the start of the symposium to be fitted with a headset microphone by the ISUOG AV team, and o will also be given a handheld switcher device to move through their presentation slides. Sponsors will need to cover the cost of any extra/special room set up they require, and this will be subject to ISUOG’s AV team’s advance approval and subject to ISUOG’s AV team’s schedule. Please bear in mind that there is no facility for storage of any equipment within the venue other than within your own exhibition space. If sponsors/exhibitors require storage they should contact the official freight forwarder in contacts list above.

Speakers and models:
ISUOG will not liaise with symposia speakers directly. The sponsoring company must manage all communications and speaker management and cover their requirements/expenses. Please note that it is the sponsor’s responsibility to register their speakers for the Congress and submit their presentations to ISUOG according to ISUOG's instructions, as well as to source their own models (and acquire their written consent) for any live scan demonstrations taking place during the session.
Staffing:
Sponsors are responsible for staffing their individual symposium, ISUOG will not provide any staff/hostesses to assist in the running of the symposium e.g. badge scanning, microphone support. Please note that any additional hostess/staff working on your Symposium, within your Hospitality Suite or on your stand must have a valid temporary access pass which must be purchased in advance. Your exhibition passes are valid to access your own symposium but to no other scientific sessions or other symposia.
Catering:
It is recommended that sponsors consider providing a boxed lunch within the symposium, to encourage maximum attendance. Catering is fixed to the venue, to arrange catering for your symposium, please contact the Excel Hospitality team via the ‘Supplier contact details’ section above.
Branding:
Sponsors are permitted to erect one freestanding / pop-up style banner, up to 2m (h) x 1m (w) immediately outside the main entrance door to the symposium room from 15 minutes prior to the symposium start time. You may also erect a further two freestanding banners inside the symposium room from 15 minutes prior to your session and for the duration of your symposium. If you circulate flyers or branded materials in your session, we ask that you remove all surplus or left behind material at the end of your session. No branded materials should be left in or outside the room after the symposium.
It is possible to book additional signage at the venue during the Congress, but this must be done by contacting ISUOG first for approval and cannot be booked directly with the venue. If you are interested in this, please email [email protected] for further details.

Access:
Sponsors who have booked Hospitality Suites will have been informed which room they are assigned by ISUOG. Please contact ISUOG for technical floorplans. Rental dates are for the number of days agreed and paid for on a sponsor-by-sponsor basis. Please note, rates are quoted per day for the hours of the scientific program, and any set-up days or additional hours requested by sponsors will be subject to venue availability and to additional rental costs.
Branding:
Branding and/or signage as required by companies within their rooms is permitted, however, nothing may be hung from the ceiling or attached to the walls. Any extensive set up/branding plans will need to be submitted to the venue for approval. If no digital signage is available outside the Hospitality Suite room, one pull-up banner is permitted to be placed immediately outside the room, provided it does not obscure other rooms/entrances or any emergency escape routes.

Furniture: chairs and banquet tables are included in the room rental. All additional furniture must be ordered and will be provided at an additional charge.

AV services are not included in the room rental. AV services can be ordered via the recommended supplier (see supplier contact details section above). External AV providers are permitted, but sponsors must contact the venue for approval first.
Sponsors will be responsible for any additional technical and audio-visual set-up, electrical, furnishing, catering and other costs, which must be hired from the Excel London using the contact details and/or forms at the top of this technical manual.
Staffing:
Please note that any additional hosts/hostesses/staff/AV technicians working on your Symposium, within your Hospitality Suite or on your stand must have a valid temporary access pass which must be purchased in advance. Your exhibition passes are valid to access your own symposium but to no other scientific sessions or other symposia.

Notes for sponsors planning scan demonstrations in Hospitality Suites:

Any live scans taking place within Hospitality Suites are the sole responsibility of the sponsor/exhibitor. ISUOG does not take any liability for any scan demonstrations taking place outside of the scientific program

It is the sponsor's responsibility to provide any technical, audio-visual or scanning equipment required within their Hospitality Suite, including scan machines and scanning tables, plus any additional materials (pillows, blankets, gel, wipes, etc) if you intend to project live scanning.

Eligible sponsors are entitled to receive a copy of the advanced delegate opt-in list (general or symposium). The list will be provided to sponsors who sign and return the data protection addendum to [email protected]. If you have not received the addendum, please contact [email protected]. Please note, the mailing list will consist of delegates who have opted in for sponsor communications according to GDPR. Sponsors must share their mailing content with ISUOG for approval 10 days before ISUOG sends them the list.

Congress app profiles and push notifications
Profiles:
Eligibility: All sponsors/exhibitors will have a profile created on the Congress app, which they will be able to add and manage on the Exhibitor Registration Portal. If no content has been uploaded by the week before the event, ISUOG will use the text and logo from their profile on the meet our sponsors subpages.
Format: All exhibitors will be permitted to add files and links as well as their bio and logo. Diamond, Platinum, Gold, Silver and Bronze sponsors will also be entitled to add embedded videos.

Push notifications:
Eligibility:
- X2 each for all Diamond and 1X each for all Platinum sponsors (Sponsor to submit text to ISUOG, can promote whatever they wish)
- X1 per scan demonstration (ISUOG will write this)
- X1 per sponsored symposium (ISUOG will write this)
- Push notifications are also available for all exhibitors/sponsors to purchase (£200 per notification, or £500 for 3). Please contact ISUOG to book these.

Newsletter adverts
- Daily newsletter: each day of the Congress, an email newsletter is sent out to all delegates in the morning, before the program begins for the day. This shares information about the program, any social events taking place that day, and more. Sponsors who are hosting industry symposia are entitled to a section in this newsletter on the day of their symposium. A daily slot in the newsletter is also available to be purchased as an add-on by any sponsor.

- Advanced newsletter/post-congress newsletter: one month before/after the Congress, a newsletter will go out to all registered delegates with information on what to expect/what happened at the 2026 event. There is a slot available in this newsletter for a sponsor to purchase as an advertising opportunity.

Closing meeting with ISUOG:
All exhibitors are welcome to attend our Exhibitors’ Closing Meeting onsite. An invitation with date, time and room details will be emailed to you prior to the meeting. This is your chance to provide feedback to the Organisers for future Congresses. We hope you will be able to attend.
Compliance:
ISUOG strives to hold educational and scientific congresses and events that are independent and compliant with international Exhibition and Sponsorship standards and best practices. All Exhibitors and Sponsors participating in ISUOG congresses and events are recommended to consult their internal and external compliance processes as it is their responsibility to comply with any laws or regulations that pertain to their particular industry. Whilst ISUOG will endeavour to support all Exhibitors and Sponsors to meet their own compliance standards whilst participating in ISUOG congresses and events, ISUOG is not liable in any way for Exhibitors or Sponsors not complying to legal, ethical and industry standards.
EACCME compliance in industry communications: ISUOG applies for EACCME accreditation each year. EACCME states that "the EACCME© accepts that when a commercial company supports an event, the company can announce the event via their website or social media but not via mailing".
Data protection:
As a sponsor or exhibitor on this event, you will be able to connect with all delegates onsite, if the delegates wishes to. Once any delegate agrees to their information being shared with sponsor/exhibitors via the registration form or face-to-face contact, that sponsor/exhibitor becomes a data controller in relation to the shared data. This includes complying by all relevant data protection laws, including having a complaints procedure in place and an option of opting-out of receipt of any communications from you. Exhibitors are expected to respect data protection regulations in relation to this event and any information that is presented in the context of the event. Delegate information may not be used for any purpose other than that agreed in advance in writing with the Organisers.

All best endeavours will be made to present the program as printed. However, the Organisers and its agents reserve the right to alter or cancel without prior notice, any of the arrangements, timetables, plans or other items relating directly or indirectly to the Congress for any reason beyond its reasonable control. The Organiser and its agents are not liable for any loss or inconvenience caused as a result of such alteration.
Duplications and recordings:
Photography, audiotaping, video recording, digital taping or any other form of duplication is not permitted under any circumstances in session halls or public places. Filming is permitted in all private rooms (e.g. Hospitality Suites and Meeting Rooms). Sponsors/exhibitors are responsible for arranging the necessary permissions/logistics to record any content in these rooms. ISUOG is not responsible for any failure to arrange consent with individuals featuring in these recordings.
Emergency telephone numbers:
If any exhibitors have a medical emergency, they must dial 4444 from an internal telephone. If exhibitors have a medical enquiry, they must dial 5556 from an internal telephone.
If you have an urgent requirement at the venue please find an ISUOG member of staff. In case of an emergency please contact any venue security guard and they will assess the situation. If no one is available from the venue to assist you, the emergency number in the UK is 999 and from there you will be redirected accordingly i.e. police, ambulance, fire department.
Lost property:
Please hand any lost property to the staff at the registration desks where it will be made available for collection. At the end of the Congress, any unclaimed items will be disposed of.
Payment:
All exhibitors/sponsors are expected to have paid in full for their stands/rooms/services and any additional activities in advance of the Congress. If any sums remain outstanding at the time of registration, exhibitors/sponsors are required to settle the outstanding amounts in full by credit card before they may enter the venue. Build will not be allowed if a balance is outstanding.
Smoking policy:
Smoking is prohibited in all public indoor areas, including private areas of exhibition space.
Social events:
All stand personnel are invited to attend the welcome reception on a complimentary basis and to make the most of these excellent networking opportunities. You are also invited to purchase tickets and join us for our Congress party. For more information on these events, please visit the social program page or contact the organisers with any queries. Sponsors should not host any events which clash with the ISUOG social program.
